Brown-Forman HR and Payroll Support Analyst (Fixed Term Contract) in Guadalajara, Mexico

This is a fixed term position, 6 months contract.

Meaningful Work From Day One :

This position will lead and support HR/Payroll processing. The role will be responsible for Payroll and Human Resources processes to ensure timely and accurate submission that impacts payroll and payroll processing. This role will also support administrative tasks and assist with both HR and Payroll in completion of updated employee data in the Payroll Vendor portal.

What You Can Expect:

HR Related tasks:

  • Gather data that is required to be reported to Payroll for payment processing. This includes pulling down data from Workday (HR/Payroll System), creating an EIB (file load), and sending it for processing.

  • Balancing of File loads.

  • Enter/add OTP for employees as needed for payroll processing. Enter in Leave of Absences into Workday and ensure it is approved before payroll integration is processed.

  • Update LOA’s, adjusting dates and end dates when applicable.

  • Manage all LOA and work directly with the Medical Team, the employee’s Doctor, and the employee to ensure the accurate reports/paperwork and information are delivered to B-F for leave processing.

  • Works closely with Payroll and HR to ensure proper notification, documentation, and escalation items are sent timely.

  • Sales Incentive Processing for Monthly & Annual payments processing? This included working with HR on the SI amounts, creating an EIB to load into Workday for payment processing and validation, in addition to working with Payroll on notifications regarding payments. Additionally, ensuring the payments are processed based on the Payroll Schedule.

  • Process ONO transactions. Ensure all HR-related updates that impact payroll in the Ono Payroll System are updated timely, in relation to the Payroll Calendar. This is required for all New Hires, Rehires, Terminations, and for Compensation changes. The Govt. requires this information to be updated timely in the Social Security Payroll Portal prior to sending the integration to our Vendor and this role will be responsible for entering all updates into the Ono System and ensuring both Workday and Ono match for correct payroll/tax reporting purposes.

  • Prepares ad hoc reports, metrics, and presentations.

  • Analyzes information and identifies opportunities for improvement.

  • Prepare monthly reports for HR & Payroll as applicable.

  • Provide customer service to all HR representatives and employees and effectively communicate all payroll-related information, including vacation balances and general payroll questions.

  • Work in the Plant and field 1-2 times a week to help with HR/Payroll related questions that our colleagues or stakeholders may have.

  • Work as a liaison between HR and Payroll to ensure colleagues are cared for and any payroll discrepancies are cared for timely.

  • Participate in HR/Payroll Weekly Meetings to help with projects/resolutions.

  • Monitoring and tracking WD changes / correcting errors made to ensure they are finalized in Workday prior to the integration running.

  • Business partner to anticipate new changes in labor law reforms.

Payroll Related responsibilities:

  • LATAM Payroll Accounting responsibilities. This role will care for and execute the payroll reconciliations, payroll journal entries, and accruals, as well as manage the GL payroll file/exceptions and errors. Partner with the Vendor if there are any errors/concerns to ensure the GL is processed correctly. Currently, this includes the GL and Accounting tasks for Mexico, Chile, Columbia, Argentina, and the Dominican Republic.

  • Ad-hoc support to payroll processing, reporting, and analysis for the region.

What You Bring to the Table :

  • Bachelor of Accounting or similar.

  • HR/Payroll Experience.

  • 5+ years of experience in similar roles.

  • Languages: Proficient in English, oral and written. Prefer bi-lingual if possible.

  • Proficient in Google apps (sheets, docs, etc.), as well as Excel.

  • Experience with SAP and Workday desirable.

  • Knowledge and experience in general HR, Accounting, Resource Management, Administration, Taxes (local and federal), internal policies and procedures.

  • Knowledge and experience in payroll processes, compensations, payroll taxes, social security, savings accounts, and pension plans.

  • Partner with other areas to achieve process improvements, achieve goals, and meet deadlines.

  • Multitasking skills are a must.

  • Discretion to handle confidential information.

  • Oral and written communication skills and ability to clearly discuss payroll issues with employees at different levels in the organization and externally with payroll providers and government agencies.

  • Analytical and problem-solving skills.
